1. Who we are
SafeStep is a digital safety platform for field crews, made up of the SafeStep website (safesteptech.com), the SafeStep mobile app and the SafeStep web dashboard (together, the "Service"). The Service is operated by DIO Solutions LLC, a Wyoming limited liability company ("DIO", "we", "us"), 30 N Gould St Ste R, Sheridan, WY 82801.
This policy explains what information we collect, how we use and share it, how long we keep it, and the choices you have. Questions: [email protected] or (915) 342-4301.
2. Our role when your employer uses SafeStep
Most people use SafeStep because their employer or the company they work for (a "Customer") set it up for its crews. In that case, the Customer decides which forms are used, who receives records and how long records are kept. We process that information on the Customer's behalf and under our agreement with them.
3. Information we collect
On our website
- Information you send us: your name, company, phone number, email, type of company, crew size and anything you write when you request a demo, book a call or apply to our partner program.
- Technical information: browser type, device type, pages visited and IP address, collected by our website and scheduling providers, including through cookies needed for the site and booking calendar to work.
In the SafeStep app and dashboard
- Account information: your name, mobile phone number, company, role, crew, work sites and language preference. Your employer usually provides this when they add you.
- Safety records: job safety analyses (JSAs), inspections, observations, near-miss and incident reports, Stop Work and good-catch reports, lockout/tagout records, corrective actions, the answers you enter, photos you attach, and your signatures and signature images.
- Time, device and location: when you sign or submit a record, or report a safety event such as a Stop Work, the app records the time, the device used and your device's location at that moment, so the record shows who signed, when and where. SafeStep does not track your location continuously.
- Device information: device identifiers, app version, operating system, a security key created on your phone to sign your records, and a push notification token.
- Copilot conversations: questions you ask the SafeStep Copilot and the answers it gives, which are logged to the related record.
- Support communications: messages you send us and our replies.
Records you complete without signal are stored on your phone until it reconnects, then sent to our servers.
4. How we use information
- To provide the Service: sign you in, show you the right forms, save and sync your records, seal submitted records and deliver them to the people your company chooses.
- To send sign-in codes and safety alerts by text message, and app notifications.
- To answer Copilot questions using your company's own procedures (see section 5).
- To protect records and the Service: verify signatures, detect tampering, prevent fraud and misuse, and keep an audit trail.
- To fix problems, support you and improve the Service.
- To respond to demo requests and talk with businesses about SafeStep.
- To comply with law and enforce our agreements.
We do not sell your personal information, and we do not use it for targeted advertising.
5. AI features
The SafeStep Copilot suggests hazards and answers questions using the procedures and documents of the company you work for. To do this, your question and the relevant parts of your company's documents are processed by our AI providers. Each company's documents are used only for that company. We do not use Customer content to train AI models.
The Copilot suggests; a person decides. It does not replace your site procedures, your supervisor or your Stop Work Authority.
6. Text messages (SMS)
We use your mobile phone number to send one-time sign-in codes and, if your company turns them on, safety alerts such as Stop Work notices. Message frequency varies. Message and data rates may apply. Reply STOP to opt out of non-essential messages, or HELP for help. If you opt out of sign-in codes, you may not be able to sign in to the app.
We do not sell, rent or share mobile phone numbers or text message opt-in information with third parties or affiliates for their marketing purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the service providers that deliver the messages for us.
7. How we share information
- With your company: records you create belong to the Customer and are visible to authorized people there, such as supervisors, safety staff and managers, and are sent to the recipients your company chooses.
- With another company your company authorizes: for example, an operator you work for. Your company can grant another company read-only access to specific submitted records for specific sites. Your company can revoke that access.
- With service providers who run parts of the Service for us under contracts that limit how they use the information:

- For legal reasons: when required by law, subpoena or court order, or to protect the safety, rights or property of people or DIO.
- In a business transfer: if DIO is involved in a merger, acquisition or sale of assets, under the same protections described here.
8. How long we keep information
- Submitted safety records (including signatures, photos and their history) are kept for 5 years from the date they were submitted, or longer if the Customer's contract requires. After that, they are deleted.
- Drafts that are never submitted are deleted after 90 days.
- Accounts: when someone leaves a company, their account is disabled. Because submitted safety records are legal records, a person's name stays on the records they signed for the full retention period.
- Website inquiries are kept as long as needed for our business relationship, then deleted on request.
A Customer can export its records at any time and when it stops using SafeStep.
9. Security
We use encryption in transit and at rest, keep each company's data separate, limit access by role, keep audit logs, and seal every submitted record with a digital fingerprint so any change can be detected. Records saved on your phone stay inside the app's protected storage. No system is perfectly secure; if we learn of a security incident affecting your information, we will notify the affected Customer and, where required, you.
10. Your choices and rights
- Access, correction and deletion: depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information. For workplace records, we handle these requests with your employer, and retention rules for legal safety records may limit deletion.
- Location: you can turn off location access in your phone settings. Your company may require location to sign certain records.
- Notifications: you can turn off push notifications in your phone settings.
- Marketing email: use the unsubscribe link in any marketing email, or write to us.
To make a request, email [email protected]. We may need to verify your identity. We will not treat you differently for using your rights.
11. Children
SafeStep is a workplace tool for adults. It is not intended for anyone under 18, and we do not knowingly collect information from children.
12. Where information is stored
We operate in the United States, and your information is processed and stored in the United States.
13. Changes to this policy
We may update this policy as the Service changes. We will post the new version here with a new "Last updated" date, and tell Customers about material changes before they take effect.
